1 – Finding the ‘Add Property Owner’ section.
First, log in to your BestAgent account and click the ‘hamburger’ menu button in the top right corner of the screen. The menu will drop down and you will see an option to Add Owner, as a blue symbol at the top of the screen.
2 – Registering the owner’s contact details.
There are 4 basic contact details that must be added before you can continue.
- Full name.
- Mobile number.
- Is the owner a UK national? *
It is important to add the full name correctly (with correct capitalisation) as we will use this information in any emails or SMS sent to the owner.
Once you click ‘Register’, a basic owner profile will begin to be created in your account, once created, you will find the property owner in the main ‘hamburger’ menu in the top right-hand corner under ‘Owners’.

2.1 – Adding the property address.
After registering the owner’s contact details you will be asked for the address of the property they are selling or letting on the ‘Add Property’ page, from this page you can use ‘Google Places’ to find their address. To do this start typing the address into the search bar and a list of options will appear, click the correct option to add it.
Alternatively, you can add the address manually by clicking the ‘Add Manually’ button, adding the property details and clicking ‘Save’.
You will then be asked if the property is sales or lettings, select one of the options and then click ‘Submit’.
Once you have clicked ‘Submit’, the basic property details will be added to your BestAgent account as either sales or lettings and will have the status of ‘Appraisal’.
If they are living in a property that is different to the property they are selling see 2.2
2.2 – Registering a correspondence address if different to property address.
After you have submitted the basic property information you will be asked if the address is also their correspondence address, if you click ‘Yes’ the owners address will be updated with the property address. If you click ‘No’ you will be taken a screen that has the option to add another address. You can do this either by using’ Google Places’ or by using the ‘Add Manually’ option. This will update the owners correspondence address in their owner profile in your BestAgent account.
If using ‘Google Places’ begin by typing the address of the property then a list of options will appear, select the correct address to add it. Or, you can add the address manually by clicking the ‘Add Manually’ button, adding the property details and clicking ‘Save’.
3 – Registering basic property information.
On this page, you will add basic property information. There are 3 basic options that are required to add a property. .
To add the basic information click the ‘drop-down’ menus to add the number of bedrooms, the property type (House or Flat), and the property sub-type (eg: Detached or Maisonette)
When you click ‘Submit’ on this page the property information will be added to the property record created in your BestAgent account. The owner’s details will also be added to the property and the property to the owner’s profile.
You will have the option to add further details by clicking ‘Properties’ found in the ‘Hamburger’ menu in the top right-hand of the screen, once on this page, click Appraisals, find the property, click on it, then you will be able to edit/add information and change the properties status to For Sale/To Let once you’ve been instructed by the owner
3.1 – Adding an owner to a property that is already in your account.
If a property is already in your account but doesn’t have a registered owner, find the property under the ‘Properties’ section of the ‘Hamburger’ menu, then select either Sales or Lettings and scroll until you find the property. Click the property to enter it’s ‘Edit’ page and you will see an option under the property photos to ‘Add Owner’. Click that to add owner details which will be attached to the property.
Additionaly, when adding an owner BestAgent will search through your account and if the property address is found in your database you will be notified, and a button will appear asking if you would like to add the property owner to the found property. If you click ‘Yes’ the owner will be added automatically and have the option to also add Applicant information to the owner if they are also looking for a property.
4 – Making an owner an applicant.
Once you have finished registering the owner details and the property details you will be asked whether you would like to add applicant details.
You can choose to add them, or you can add them at a later date.
If you choose to add applicant details you will be taken to the ‘Applicant Registration’ page where you can add their search criteria. Adding applicant criteria will not over-write the owner status, it will sit alongside and you will have the option to switch between view modes on the person’s owner/applicant profile.
If you choose to add the details later you will be taken to a final page which will give you the option to return to your BestAgent ‘Dashboard’, or, you can go directly to the owner’s profile.
You can view and edit all the information you’ve added by viewing the owner in the ‘Owners’ tab of the main menu in BestAgent.
