1 – What is online viewing booking?
Online viewing booking allows applicants to suggest a time and date to view a property that has matched their criteria based on the number of bedrooms they require and their budget. An ‘invitation to view’ the property will be sent to the applicant automatically via email, from the agent.
When an agent receives a ‘viewing request’, they can confirm the appointment with one click or easily suggest another time for the applicant to view the property. The agent and applicant can continue to suggest different viewing times until a suitable time is agreed by both parties.

2 – Viewing invitation emails received by applicants.
A ‘viewing invitation’ email is automatically sent to a registered applicant when a property that matches their criteria (bedrooms and price) is added to your BestAgent account.
If an applicant registers interest in a particular property via a portal, ie Rightmove, Zoopla or On The Market and is imported into your BestAgent account, the applicant will automatically receive a viewing invitation email for the property they have enquired about.
The ‘viewing invitation’ email contains the main property image, a button to ‘view property details’ and a button to ‘book a viewing’.
When an applicant suggests a time to view the property they will be informed that the agent will either confirm or suggest another time for them to view.
3 – ‘View property details’ button.
When an applicant clicks on ‘view property details’ they will be taken to a webpage that displays all of the property images, the full description, and floorplans etc. The applicant can also book a viewing from this page without the need to return to the original email.
4 – ‘Book a viewing’ button.
When an applicant clicks ‘Book a viewing’ they will be taken to a webpage that allows them to select a day to view the property up to 6 days into the future and choose a specific time. When the applicant clicks ‘Send’ an email will be sent to the agent with the requested time and date.
5 – New viewing requests received by agents
An agent will receive a ‘New viewing request’ email when an applicant has suggested a time to view a property.
This email contains the date and time that has been suggested by the applicant, the property information, a link to view the applicant details, a button to ‘confirm’ the viewing time and a button to ‘suggest an alternative viewing time’.
If an agent clicks ‘Confirm’ to the time suggested by the applicant, a confirmation email will be sent to the applicant with all relevant information and also a confirmation email will be sent to the agent.
6 – Suggesting a viewing time.
An applicant can send one viewing request per property at a time. If the agent can’t make the time the applicant has suggested, they can suggest an alternative. Both the applicant and the agent can exchange as many emails as necessary until a date and time is agreed.
7 – Confirmed viewings
If the applicant has suggested a time to view a property and the agent confirms the viewing, the applicant will receive an email with the viewing details including the full address of the property, a link to get directions to the property and the option to add it to their calendar with just one click.
8 – Adding viewings to the diary.
When the agent or applicant confirms a suggested viewing time, both parties will receive a viewing confirmation email.
This email has the option for both the agent and applicant to add the appointment to their diary.
9 – Diaries that can be synced.
Viewing appointments can be added to iCal, Outlook, Google calendar, and Yahoo. Applicants and agents can click on the logo of their diary provider and the viewing time, date, and the details of the person they are meeting will be exported to their diary.
10 – ‘Viewings Dashboard’ for agents.
An agent can see all of their viewings from their BestAgent dashboard. Each viewing is under a specific heading so that the agent can keep track of the progress of each viewing. There is a ‘pending’ section where agents can see any viewing requests that are awaiting a response from the agent or the applicant.
The other headings are ‘confirmed’ where all confirmed viewings will remain until the date has passed.
‘Cancelled’ is where any cancelled viewings will be.
‘Past’ is where all past viewings will remain.
11 – Cancelling a viewing.
If the agent cancels the viewing, the applicant will receive an email notification and a reminder to remove the appointment from their diary.

Viewings can be cancelled by both parties from the viewing confirmation emails.
